I. CALL TO ORDER
I.A. Welcome
I.B. Roll Call
I.C. Approval to amend the agenda to include Ross Tarrant Architects - Alternative School/Field House change order 14, $5,335.00 and; change order 15, $338.00 and; proposal request 16, provide bollards at fire hydrant and electrical transformer; install curbing along roadway
Rationale

Please see the attached.  I am comfortable with #14.  While I have a few minor follow up questions on #15, I think it would be acceptable to move forward as presented but here are my comments below.  It essentially can be summed up as follows:

  • Includes the existing condition of providing fencing and a gate conflicting with a new manhole that was to tie into an existing underground line at the location it was installed.  The location requires an existing fence not meant to be touched to adjust a fence and gate area.  The existing underground line was off just enough to land right under and existing fence line and it was requested to make sure the manhole and the gate did not line up.  If you want to secure the field area once the project is completed, this needs to occur to correct an existing condition ($2,100).  If you do not want to do this portion, understand the area is not secure and you would need to pursue outside of the contract.
  • This change order includes skirting around the softball bleachers.  This number seems a little high but I do not have a lot to compare to for an item like this and if you desire you could approve without this item and look at doing this item yourself (add $2,000).  It takes more labor to cut fencing at an angle and tie in from nearly 6’ high to only 5” high start to finish.  No work has ever occurred on these bleachers for this project.  This is a clean enough item that if you wanted to offer not doing this in the change order to your Board we could rewrite the change order and take out this item.
  • There are a few miscellaneous items to add some gates, adjust some skirting and modify the skirting around the football bleachers.  This is a $750 add overall and should be considered if the Board wishes.  The overall value of completing this work and adding gates to gain access to below the bleachers, is worth the small added price relative to the project.

I am not pressing on the timing, but I understand the Contractor wishes that this change order be on your Monday agenda if possible and it is important to move forward with this item.  I must personally apologize for not getting #15 to you sooner since I have had this information but failed to further process till recently.  Please review and give me a call if you like.

I think the options noted above are self-explanatory and while it is advisable to approve and move forward, I want you to know you do have options on this change order.
