Rationale

A request for proposal for commissioning services was issued as part of our Sharp Middle School project.  We received three completed bids for commissioning services.

I am recommending that we award the contract to the Facility Commissioning Group.  They submitted the lowest and best bid at $41,270.

IV.B. NES Heat Exchanger Replacement
Rationale

A request for proposal was issued for heat exchanger replacement at Northern Elementary School.  We received one completed bid for the project.  

I am recommending we award the contract to Advanced Mechanical at a cost of $39,397.00 in order to replace two heat exchangers at Northern Elementary School.

IV.C. NES Stipends
Rationale

Attached is a memo from our Director of Finance and Human Resources, Mrs. Jennifer Pierce, regarding a requested revision to the 23-24 Certified Extra Service Salary Schedule.  

Mrs. Pierce was contacted by Mr. Pugh, principal of Northern Elementary, requesting that two additional stipends be added for Northern Elementary in the form of one Art Club stipend at $500 and one Chorus Sponsor stipend at $500. The costs of these stipends, if approved, will be covered by Northern Elementary’s SBDM funds, so there is no additional district expense associated with these stipends.  Northern Elementary's SBDM Council has approved this request.

I would recommend approval of the stipends as outlined.

IV.D. FY 2023-2024 KETS 1st Offer of Assistance
Rationale

The School Facilities Construction Commission is making an official FY 2024 first KETS offer of assistance to the Pendleton County Board of Education in the amount of $23,086.00.  Acceptance of this offer means the district is willing to match – dollar for dollar – the funds.  These funds were included in our 2023-2024 working budget. 

Attached is memo from our Director of Finance and Human Resources, Jennifer Pierce, providing more information.  

I recommend approval of the 2024 KETS 1st Offer of Assistance.

IV.E. BG-1--PC Paving Project 2023
Rationale

Attached is the BG-1 (#24-170) for the PC – Paving project. All BG-1s must be approved by the local board and the minutes or an “order” from the board minutes must be available upon request by KDE. The BG-1 is then sent to the Kentucky Department of Education, District Facilities Branch for review and approval.  Once approved by the Facilities Branch it is then forwarded to the Finance Branch for review.  Once final approval is given, the district will receive a letter documenting approval and next steps.

I would recommend approval of the BG-1 for the PC - paving project.

Rationale

Board approval is needed for the Re-appointment of two members to the Pendleton County Recreation Board. This appointment would be a two-year term.  I am recommending that the board of education re-appoint Bridget Browning and Stephanie Prince to the Pendleton County Recreation Board.
